Recruitment Privacy Notice

This notice explains how Juice & Friends Ltd, trading as Juice, uses and protects personal information provided during recruitment. Juice & Friends Ltd is the controller of candidate information submitted through the Juice Careers service.

When this notice applies
This notice applies when someone:
- Views and applies for a Juice vacancy.
- Provides application answers.
- Uploads a CV.
- Contacts Juice about recruitment.
- Requests recruitment-process adjustments.
- Progresses through review, interview, offer or hiring stages.
Information we collect
- Name and contact details.
- Home postcode or general location.
- Preferred Juice location.
- Availability, desired hours and earliest start date.
- Right-to-work declaration.
- Application-question answers.
- CV and information contained within it.
- Recruitment communications.
- Application status and internal review history.
- Optional information about adjustments required during recruitment.
- Limited technical and security information used to protect the application process and prevent misuse.
Why we use it
- Receive and administer applications.
- Assess suitability manually against the vacancy.
- Contact candidates.
- Arrange recruitment stages.
- Consider reasonable recruitment adjustments.
- Confirm or follow up right-to-work information at the appropriate stage.
- Maintain secure and reliable recruitment systems.
- Prevent duplicate, fraudulent or abusive submissions.
- Keep appropriate recruitment records.
- Establish, exercise or defend legal rights where necessary.
- Transfer relevant information into the employee-record process where someone is hired.
Juice does not use AI to rank, score, reject, shortlist or recommend candidates. Recruitment decisions are made by people.
Lawful bases
We generally rely on:
- Taking steps at the candidate's request before potentially entering an employment contract.
- Our legitimate interests in operating a fair, organised and secure recruitment process — including assessing candidates, administering recruitment, protecting the service, and maintaining proportionate recruitment records.
- Compliance with legal obligations where applicable.
- Establishing, exercising or defending legal claims where necessary.
Recruitment adjustments and special-category information
You may share information so we can consider reasonable adjustments to the recruitment process (for example, at interview). Supplying this information is optional. Please provide only what is reasonably needed to explain the adjustment requested.
Adjustment information may reveal health or disability information. We use it only to consider and arrange reasonable recruitment-process adjustments and to meet relevant employment and equality-law responsibilities. Access is restricted to authorised recruitment personnel who need it, it is stored separately from the general application record, and it is not used to rank or score candidates.
Please do not send full medical records, detailed diagnoses where unnecessary, or information unrelated to the requested adjustment.
Required and optional information
- Fields marked required are needed to submit and administer an application.
- Optional vacancy questions may be left unanswered.
- Adjustment information is optional.
- A CV may be required or optional depending on the vacancy.
- Failure to provide required information may mean we cannot accept or progress the application.
Sharing and access
Candidate information may be accessed by:
- Authorised Juice recruitment and management personnel.
- Service providers supporting hosting, database services, private file storage, security and email delivery.
- Professional advisers, insurers, regulators, courts or public authorities where reasonably necessary or legally required.
We do not sell candidate information. CVs are kept in private storage and are not attached to routine internal notification emails. Access is limited to people who need the information for recruitment or governance.
International processing
Some service providers may process information outside the UK. Where this occurs, Juice requires an appropriate lawful transfer mechanism or other protection where required by UK data-protection law.
Retention
- Unsuccessful applications are normally deleted six months after the final decision.
- Withdrawn applications are normally deleted six months after withdrawal.
- Legal hold or a genuine legal requirement may pause or extend deletion.
- Where a candidate is hired, relevant information moves into the employee-record process; recruitment information is not retained indefinitely merely because the person was hired.
- Temporary security and abuse-prevention records are retained for a shorter operational period.
- Temporary incomplete upload data is kept only as long as reasonably needed to complete, secure or clean up the submission.
Security
We protect candidate information with, among other measures:
- Access controls.
- Private CV storage.
- Restricted administrative access.
- Security logging.
- Data minimisation.
- Retention and deletion controls.
Your rights
Depending on the circumstances, you may have rights of access, correction, erasure, restriction, objection and data portability. Some rights are subject to legal exceptions and cannot always be granted in full.

Automated decision-making
- No solely automated recruitment decision is made.
- No AI ranking, scoring, rejection, shortlisting or candidate recommendation is used.
- Human reviewers make recruitment decisions.
Changes to this notice
We may update this notice from time to time. The displayed date and version identify the applicable version.
Before you apply
- We use application information to manage the recruitment process.
- Application decisions are made by people.
- Unsuccessful or withdrawn applications are normally deleted after six months.
- Adjustment information is optional and separately protected.
